Book transportation for your company holiday party as soon as the date and venue are set, ideally in October or early November. December is the busiest party month in Dallas–Fort Worth, and the planners who lock in rides early get the vehicles and pickup times they actually want.
This guide is the plan we walk office managers and executive assistants through every season: when to book, how to size the vehicles, how shuttle loops work and, most important, how everyone gets home safely.
01When should I book holiday party transportation in Dallas?
Earlier than you think. December fills up with company parties, weddings, school events and families heading out to see Christmas lights. You don’t need every detail to start. Call once you know the date, the venue and a rough headcount, then fine-tune with your dispatcher as RSVPs come in.
- 1October
Lock the date and venue. Get a first plan, even with a rough headcount.
- 2Early November
Book the vehicles. December weekends fill first.
- 32 weeks out
Send the final headcount and every pickup address.
- 42–3 days out
Email guests their pickup spot and return times.
- 5Party night
One point person holds the phone. Everyone else enjoys the night.
A party in Uptown, Deep Ellum, downtown Fort Worth, Las Colinas or Southlake comes with different drive times, curb space and parking. The venue shapes the whole plan.
02How many vehicles do I need for my headcount?
This is where most planners get stuck. Start with riders per trip, not the total guest list. Then look at how many places people are coming from. Move the slider to see a starting mix.

Ask whether spouses and partners are invited before you size anything. And if your team lives all over the Metroplex, from Frisco and McKinney down to Arlington and Fort Worth, one vehicle per pickup area usually beats one big vehicle from a single spot.
Should the executive team get their own vehicle?
Plenty of companies do it. If leadership needs to arrive early for a welcome toast or leave early for another commitment, a separate black SUV keeps the main group’s schedule from waiting on them. It is also the easy answer when a visiting executive is flying into DFW Airport or Love Field the same day and heading straight to the party.
03How do shuttle loops work from the office or hotels to the venue?
A shuttle loop is a vehicle running back and forth between your pickup points and the venue instead of making one trip. You need one when you have more people than one vehicle can carry, or when guests are coming from the office, a hotel block and a parking garage.
If out-of-town staff are staying at a hotel in Uptown or near the Galleria, the shuttle adds that stop at a fixed time. Give your transportation company every pickup address up front, because adding one late throws off the loop timing. Our event shuttle service is built around your real schedule, not a generic template.
What about staggered return trips at the end of the night?
Not everyone leaves at the same time, and that’s fine if you plan for it. Here is what a typical night can look like:
- Wave 1 leaves the office
The first shuttle heads out with the early crowd.
- Hotel stop
Out-of-town guests board at the hotel entrance.
- Wave 2 leaves the office
Same shuttle, second trip. Nobody waits long.
- Party starts
Everyone is in. Chauffeurs stage nearby.
- Return 1
For anyone with a sitter at home or an early morning.
- Return 2
The main crowd heads home or back to the office garage.
- Final return
Last pickup when the venue closes. Nobody left at the curb.
Put the return times in the reminder email and on a sign near the exit, so nobody is standing in the cold wondering if their ride forgot them.
“Best company I've ever used. Extremely clean and fully functional bus. Driver was amazing and made last min changes without any issues. Even the owner was extremely helpful and responsive. Highly recommended and I will definitely give them my business again. 10/10”
04How do we make sure people get home safely after drinks?
This is the part that matters most. An open bar is part of a lot of holiday parties, and nobody wants a coworker getting behind the wheel on the Tollway or LBJ afterward. Arranged rides for the whole night, not just the trip to the venue, take that worry off the table. Decide these four things before the invite goes out:
Covering both ways is the simple, safe default.
If cars are parked at the office, plan a return there, or group home drop-offs by area.
Some guests stay until the venue closes. Give them a final pickup.
One number to call if someone misses their ride.

Whatever you decide, put it in the invite so nobody is guessing on the night. If your company has its own policy on alcohol at events, follow it, and check with HR on anything you’re unsure about.
Send the date and headcount. A dispatcher calls back within 30 minutes.
05What about December weather and traffic in DFW?
Plan for both, because North Texas in December can surprise you.
A mild 60-degree night, a cold rain or a sudden blue norther. Plan a covered or indoor waiting spot at every pickup.
Holiday shoppers around NorthPark Center and the Galleria, plus I-635, I-35E, US-75 and the Dallas North Tollway.
Build a buffer into the first pickup of the night. A 20-minute drive can stretch in December.
Give your transportation company that person’s cell number, not the office line. If a vehicle is running behind on Central Expressway or a guest changes their pickup spot, one phone should ring, not five people trading texts about who’s in charge.
06The holiday party transportation checklist
Tick these off as you go. Your progress is saved on this device, and you can copy or email the list to your team.

Some teams keep the group together a little longer with a lights ride before or after the party, with a pass through famous neighborhoods like Highland Park.
Whether you need one SUV for leadership or a full corporate shuttle loop for a big team across two hotels and an office, the principles are the same: know your numbers, leave a buffer and have one person in charge on the night. Our corporate transportation team can help you pick the vehicle mix once you have a rough headcount, or build a starting plan yourself in 60 seconds on our corporate holiday party transportation page.
“This is one of the best companies I have used. I needed a fast service to pick up my clients flying in for a conference. They rolled out the red carpet – literally.”
